About the Organisation

The Sustainability Institute is a non-profit organisation based in the Lynedoch EcoVillage near Stellenbosch. Founded in 1999, the Institute cultivates and activates collective imagination for just and regenerative futures through education, practice and knowledge-building. Its intergenerational learning ecosystem includes the Lynedoch Children's House (LCH), which serves children from birth to six years, and Lynedoch Community School (LCS), which serves primary-school learners. Learning is place-based, relational and grounded in the development of agency, creativity, joy, hope and ukama.

About the Job

The School Administrator takes full operational ownership of the administrative systems serving both LCH and LCS. The role ensures that learner and school records are complete, accurate and secure; all administrative compliance requirements and reporting deadlines are proactively managed; and school information is reliable and readily available for decision-making, accountability and continuous improvement.

The Administrator is expected to anticipate requirements, coordinate inputs across the school, identify and address administrative gaps, and follow processes through to completion. The role provides a professional point of contact for families and stakeholders and enables school leadership and teaching staff to focus on educational delivery. While ultimate statutory and professional accountability remains with the relevant school leader and governance structures, the Administrator owns the coordination, evidence, quality and timely completion of the school's administrative obligations.

Since the Guide will be based on the SI premises certain non-core responsibilities are expected of him/her.

Non-core areas of responsibility include:


  • Participate in relevant SI and school staff meetings, planning processes, training and community practices.

  • Contribute to morning gatherings, ilima and other shared institutional activities as agreed with the line manager.

  • Support a culture of shared care for the campus and responsible use of communal spaces and resources.

  • Undertake other reasonable duties aligned with the purpose and level of the role, as agreed with the line manager.

Requirements

Essential

  • Diploma or degree in Business Administration, Education Administration, Operations Management, Office Management, HR, Finance or a related field.

  • 3–5 or more years’ experience in school administration, education operations, NGO/NPO administration.

Strong experience with:

  • School administration and record keeping

  • Staff administration processes

  • Budgets, purchasing and supplier management

  • Invoicing, payments and financial administration

  • Compliance and regulatory documentation

  • Data management and reporting

  • Parent/community communication

  • Event and logistics coordination

  • Excellent Microsoft Office / Google Workspace skills, particularly Excel/Google Sheets.

  • Experience managing confidential information, especially children's and staff records.

  • Excellent written and verbal communication in English.


Desirable

  • NPO/NGO experience and an understanding of donor-funded organisations.

  • Experience with SASA / WCED / ECD compliance or school regulatory requirements.

  • Knowledge of SACE, POPIA, BCEA and OHSA requirements.

  • Experience with HR administration, including contracts, leave, timesheets, personnel files and onboarding.

  • Basic financial management/bookkeeping knowledge.

  • Experience preparing budgets and financial reports.

  • Experience working with funders, audits and grant reporting.

  • Experience coordinating transport, meals, procurement, maintenance and facilities.

  • Experience with school information/learner management systems.
