Nature, Environment, Wildlife, Filmmaking (NEWF) is a non-profit company based in Durban, South Africa. NEWF serves as a platform for African filmmakers, conservationists, and scientists to collaborate through storytelling to protect the continent’s natural assets. Initially launched as an annual gathering in 2017, it has evolved into a year-round, community-focused organization dedicated to breaking barriers and building capacity for African nature, environment, and wildlife storytellers. Through initiatives like the Africa Refocused program, in partnership with the National Geographic Society, NEWF amplifies African voices in global media. Its eKhaya Storytelling Research and Dive Centre in Sodwana Bay hosts various training initiatives, while the annual NEWF Fellows Summit and Congress convenes around 350 participants to foster engagement and growth in the field.
About the Job
The Operations & Finance Administrator will play a crucial role in ensuring the efficient functioning of NEWF's business operations. This individual will provide comprehensive administrative support to the organization and will be responsible for finance, logistics, operations, and various administrative duties to uphold organizational effectiveness. This role reports directly to the Executive Directors. Travel is required, sometimes involving periods of up to two weeks away from home.
Key Responsibilities
Administration
Prepare and manage documents, spreadsheets, and reports.
Handle general queries via email and digital platforms, providing timely responses and next steps.
Communicate specified requests with staff and the NEWF community.
Support Directors with administrative tasks as needed.
Ensure compliance with regulatory requirements (NPOs, CIPC, SARS).
Take minutes and coordinate staff meetings, strategic planning sessions, and internal engagements.
Assist in various project assignments to support NEWF’s objectives.
Finance & Bookkeeping
Log and process invoices and receipts weekly.
Conduct monthly reconciliations of debit and credit card expenditures.
Track payments and generate reports as required.
Verify Fellows' film reconciliations for accuracy.
Coordinate with accountants and auditors to ensure SARS compliance.
Travel & Event Coordination
Research and manage visa and travel requirements for domestic and international trips.
Prepare visa and invitation letters, travel schedules, and documents.
Book travel, accommodations, stipends, and other logistics for staff, fellows, and mentors.
Coordinate venue arrangements, supplier management, attendee invitations, and partner liaisons for Labs and events.
Support planning and execution of trainings, guest speaker sessions, and event logistics.
Asset Management
Maintain and update NEWF’s asset register.
Ensure adequate insurance coverage for all assets and manage insurance claims.
Track asset usage and ensure returns when removed from the property.
Requirements
Qualifications and Experience:
Bachelor’s degree in business administration, accounting, finance, or a related field (preferred).
Proven experience in administrative roles, ideally in a non-profit or international organization.
Strong organizational skills with the ability to manage multiple tasks and priorities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Drive).
Familiarity with office software and tools such as Monday.com.
Excellent communication and interpersonal skills, with the ability to collaborate effectively in a team environment.
