About the Organisation

Global Sojourns Giving Circle (GSGC) provides grants to community-based organizations run by dynamic changemakers who provide mentorship to youth, with a focus on empowering girls and the ultimate goal of breaking the cycle of deep poverty.

Since 2007, when GSGC was born, we have been devoted to helping African girls rise above complex barriers, to be seen, heard and believed in and to live a life of dignity. From day one, we have been committed to ensuring that these girls have access to education and opportunities to create a better future for themselves, their families and communities. Our local partners, both women and men, understand these barriers best.

About the Job

This is a lean but meaningful role, best suited to someone who is highly organised, self-motivated, and values the flexibility of part-time work. It may also complement other part-time or freelance commitments.

We are seeking a detail-oriented, tech-savvy, and mission-aligned Administration Assistant to support and strengthen GSGC’s internal systems, donor care, and coordination across workstreams. You will help ensure systems run smoothly, donors feel appreciated and informed, and internal communication flows easily.

This is a foundational part-time role ideal for someone with strong organisational skills who thrives in a remote, fast-paced environment and enjoys making things work behind the scenes.

Key Responsibilities

Executive and Team Support

  • Manage and coordinate calendars for the Executive Director and COO.

  • Schedule and set up meetings for board, donor, and internal teams.

  • Coordinate scholarship interviews, including scheduling, invitations, and applicant communication.


Donor and Communications Support

  • Track, record, and reconcile donations (Donorbox, Little Green Light, and other sources).

  • Prepare renewal reminders, thank-you letters, and annual contribution summaries.

  • Ordering postcards, bookmarks and donor cards, maintaining accurate correspondence lists.


Systems and Operations

  • Maintain backend systems for renewals, newsletters, and platform management.

  • Support data collection and preparation for reports and vetting committees.

  • Keep Google Drive organised with clear folders and naming conventions.


Coordination and Project Support

  • Coordinate across key workstreams including communications, fundraising, and mentor programmes.

  • Keep the Mentor Resource Centre current by coordinating content uploads with mentors.

  • Support light website and content updates (blogs, newsletters, and gratitude videos).

Requirements

  • 5-10 years of experience in administration, donor relations, or executive support.

  • Excellent English writing and organisational skills.

  • Experience in nonprofit operations, donor relations, or fundraising administration is an advantage.

  • Confidence with spreadsheets and reconciliations.

  • High level of discretion and professionalism when handling sensitive information.

  • Reliable, proactive, and comfortable working remotely in a small, collaborative team.

  • Motivated by meaningful work that supports youth mentorship and empowerment.
