They do this by facilitating critical reflection on our social justice practice, listening to the voices of those who are most affected by injustice, and supporting innovative and collaborative solidarity initiatives that address unjust power relations globally.
About the Job
The purpose of the role will be to provide administrative, financial-processing, and operational support for the pilot phase for a new fund (LFI), ensuring smooth functioning of the grant-making system, accurate documentation, compliance with agreed procedures, and efficient coordination between ACT Ubumbano and its collaborators and partners.
This is currently a contract position for 12 months, with the possibility of renewal dependent on review and success of the pilot phase.
Key Responsibilities
Grants Administration
Manage the end-to-end administrative processes for targeted calls, applications, review stages, contracting, and reporting.
Support configuration and daily operation of the LFI grants management system, including application uploads, document verification, and eligibility pre-screening.
Maintain complete audit trails for all administrative actions in line with LFI transparency standards.
Coordinate communication with applicants regarding submissions, revisions, and requirements.
Grants Management
With the team, review grant proposals received through the Leverage Fund Institute.
Provide accompaniment support to grant partners, including technical and strategic support where appropriate.
Conduct regular on-site visits for relationship building with grant partners where necessary.
Identify learnings and insights from the grant reports.
Assist in the management of the grants portfolio to maximise support to grant partners and minimise risk to the Leverage Fund Institute.
Review grant partners financial reports.
Financial and Compliance Support
Assist in processing payment requests through LFI’s financial system, ensuring compliance with approval protocols.
Track documentation such as registration certificates, tax compliance, bank details, and signed agreements.
Maintain administrative records for financial reports to LFI’s governance structures.
Support internal and external audit preparation.
Coordination and Communication
Serve as a central point of contact between ACT Ubumbano, Kagiso Trust, BMG, and grant partners.
Schedule meetings, training sessions, and evaluation committee activities.
Administer communications for targeted invitations, capacity-building sessions, and reporting reminders.
Prepare summary reports, correspondence, and support documents for oversight committees.
Data and Systems Management
Maintain accurate data on all applicants, grantees, reporting cycles, and disbursements.
Support the management of electronic contract signing processes.
Assist in improving templates, forms, and system settings.
Programme Support
Assist in convening learning hubs, grantee orientation sessions, and small convenings as required.
Support the documenting of learnings from the implementation processes, including the identification administrative challenges to inform mid-term review and Institute design.
Other organisational tasks
Attend and participate in staff meetings, organisational reviews and planning as well as other meetings that relate to the work of the organisation.
Contribute to team-wide communications and knowledge management and participate in organisation wide events and discussions on related topics/projects.
Requirements
Educational qualifications
Graduate qualification in a relevant academic field such as Administration/Humanities/Social Sciences/Development Studies
Experience
3 years’ experience working with local partners and/or international NGOs and/or faith-based organisations in South Africa.
Experience in organisational development of non-governmental organisations would be considered positively.
Technical competencies (Knowledge, skills, and abilities)
Strong organisational and administrative skills with meticulous attention to detail.
Competence in managing online platforms, portals, and data systems.
Basic financial literacy and familiarity with financial documentation.
Strong and respectful interpersonal skills that enable good relations with organisational partners.
Demonstrable understanding of social justice issues in South Africa.
Familiarity with politics of the region.
Proficiency in MS Office and cloud-based tools.
Other requirements
Openness to work outside regular official working times.
Ability and willingness to travel both locally, regionally, and internationally as required.
A driver’s license is advantageous.
