Philippi Village is an integrated, mixed-use development which is home to a diverse community of entrepreneurs and small business owners with retail, office and event space as well as sporting, educational and cultural facilities. Regarded as a business catalyst for township communities situated in Cape Town’s Cape Flats area, Philippi Village’s primary focus is to provide collaborative workspaces for small and micro business owners as well as create employment opportunities and upskill local community members while at the same time providing a vibrant and safe place for social engagement.

About the Job

The Operations Manager will be responsible for the running of, and operations associated with, all departments onsite and for the overall day-to-day running of Philippi Village. The successful candidate will also need to be competent in determining departmental strategies, preparing necessary policies or processes, and implementing same.

Key Responsibilities

Operations: Developing, updating and implementing operational systems, strategies and ensuring adherence to policies at all times


  • Provide operational support as Operations Manager onsite and work with all departments to ensure the proficient running of Philippi Village, including but not limited to supporting the tenanting, maintenance, safety and security, eventing and projects departments

  • Identify any operational gaps in each department (policies, processes and procedures) and develop necessary operational systems to address these gaps

  • Review, amend and update or create any operations manuals and systems


Reporting


  • Run and coordinate weekly team meetings

  • Collate, review and comment (where necessary) on departmental weekly reports and monthly reports

  • Prepare and collate a monthly operational report for the departments as a whole, and for the function of the Operations Manager, to submit to the CEO and Finance Manager


Department monitoring and support


  • Support the day to day running of departments

  • Problem solve and assist the team with issues to streamline day to day operations

  • Provide support to onsite security and liaise with the Head of Community Safety regarding security reports, and support the outsourced security operations onsite and assist with resource planning if required


Health and Safety


  • Act as the H&S Officer for Philippi Village

  • Ensure the H&S file is up to date and ensure compliance at all times for the whole Philippi Village

  • Oversee Health and Safety policies in practice (including policies relating to notifiable infectious diseases)


Human Resources


  • Responsible for onsite HR including but not limited to attendance reporting, leave management and the submission of payroll data on a monthly basis

  • Responsible for the daily management of the team, ensuring that the PV Handbook is adhered to and apply progressive discipline where necessary

  • Make sure staff files are up to date

  • Understand and have experience of the processes associated with COIDA, OH&SA and the LRA


General:


  • Assisting the CEO with certain tasks and by offering support when needed

  • Attending meeting with local organisations, business forums, local government line departments and other similar stakeholders when needed

Requirements

  • Previous experience as an Operations Manager is a MUST.

  • A minimum of 4 (four) years’ experience in a similar Operations Manager role is required

  • A relevant qualification will be advantageous

  • Having the appropriate technical skill and understanding is mandatory

  • Strong leadership skills and management experience

  • Technical and practical thinker

  • Have a sound knowledge of business financial matters

  • Comfortable with public speaking

  • Organisational skills

  • Good Time management

  • Being fluent in Xhosa will be advantageous

  • Ability to be flexible with your time (please note that the successful candidate will be required to work overtime and weekends, as required)

  • Good interpersonal and communication skills.
