Regarded as a business catalyst for township communities situated in Cape Town’s Cape Flats area, Philippi Village’s primary focus is to provide collaborative workspaces for small and micro business owners as well as create employment opportunities and upskill local community members while at the same time providing a vibrant and safe place for social engagement.
About the Job
The successful incumbent will be responsible for planning and managing all events at Philippi Village, as well as ensuring that the event is well marketed and directed at the most appropriate target audience. The Events Manager will also be responsible for managing and overseeing Philippi Village’s promotional items kiosk.
Key Responsibilities
Event Packages and Database
Review current event packages and ensure the range covers all available commercial spaces at Philippi Village, whilst ensuring that appropriate rate cards are available for a range of nd-users.
Maintain a current database of external suppliers for catering, transport, gifting, photography/videography or any other applicable service provider that may be requested;
Enquiries
Respond to enquiries for events within one working day;
Follow up with new enquiries to maximise the use of the eventing spaces
Understand and update any necessary legalities or forms – POPIA, indemnities, releases and consent notices/provisions;
Event Planning
Manage, drive, execute and oversee the entire eventing process, from inception of the client or event request, to negotiating specifics with client, to ensuring an invoice is generated and paid, assist with marketing (where necessary), oversee the event (where necessary), oversee and manage cleaning and close out;
Notify security and tenants timeously of any events affected or applicable to them (subject to event size);
Execution
Attend events and ensure everything runs according to plan (where necessary);
Make sure that all arrangements and planning has been executed as per the client’s brief or agreed plan, and ensure the needs of the client are met;
Post – Event
Provide debrief or report for each event that would include an overview of the event and highlights, challenges and learnings;
Ensure that all outstanding matters relating to service providers and/or casuals are closed out (including the return of hired equipment, refund of deposits held, payment requests processed for casuals);
Eventing Department Reporting
Provide weekly and monthly eventing reports which should include details of upcoming events; post event debriefs and learnings; revenue and profit figures per event; and include measurable impact indicators from all events (internal/external/community).
Promotional goods Kiosk
Daily oversight which would include overseeing a resource in the kiosk;
Management of the kiosk, stock take and replenishment of stock;
Requirements
A minimum of 2 (two) years’ experience in a similar eventing role is required;
Having the appropriate commercial understanding and skillset is mandatory.
Ability to be flexible with your time (please note that the successful candidate will be required to work overtime and weekends, as required)
