About the Job
Reporting to the Country Director, the Program Operations Associate plays a crucial role in ensuring the efficient functioning of HTI’s operations in the country. This person provides comprehensive administrative support to the Country Director and will assist with administrative operations, finance, and training coordination to ensure organizational effectiveness.
Key Responsibilities
Administrative Operations
Execute administrative duties such as filing, copying, binding, and scanning to maintain organized records and documentation while ensuring accuracy and compliance with organizational policies and procedures.
Provide administrative support to the Country Director.
Respond to information requests from stakeholders in a timely and professional manner.
Provide support in making travel arrangements for HTI’s team members, including booking accommodation and transportation as needed.
Manage supplies inventory by monitoring stock levels, anticipating supply needs, and placing orders to replenish inventory, as necessary.
Ensure the operation of equipment by completing preventive maintenance requirements, coordinating repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
Finance
Manage financial record-keeping ensuring accuracy and compliance with organizational policies and procedures.
Process expenses and invoices.
Work with HTI team to code and reconcile expenses using online and mobile apps.
Training Coordination
Provide support to the team in coordination and planning of events and trainings for HTI in South Africa. This includes venue arrangement, vendor management, attendee invitations, partner liaison, and communications planning.
Support the organization of program-related travel and logistics for guest speakers, training, and events, ensuring smooth coordination and execution.
Attend meetings, retreats, and other HTI events to provide administrative support and facilitate logistical arrangements.
Requirements
Qualifications & Experience
Bachelor’s degree in business administration, accounting, finance, or a related field preferred.
3+ years of proven experience in administrative roles, preferably in a non-profit or international organization context
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Experience with NetSuite, Box, and Concur preferred
Knowledge, Skills & Abilities
Great attention to detail with ability to produce a professional work product quickly and independently
Excellent organizational skills with ability to prioritize multiple tasks and responsibilities to manage time effectively
Demonstrated ability to meet deadlines and achieve organizational goals
