About the Organisation

The Environmental Justice Fund (EJF) is a fund by activists, for activists, working to advance climate justice and realise environmental rights by strengthening the environmental justice movement in South Africa. We do this by providing financial, capacity-strengthening and networking support to community-based organisations (CBOs) and community networks. We are currently an 8-person team based across South Africa. The CBOs we support are working on a rich diversity of some of the most critical environmental justice challenges facing the planet today, including energy insecurity, environmentally harmful and exclusionary mining practices, food sovereignty and agro-ecology, threats to human rights defenders, and waste management in informal settlements.

About the Job

As the Operations and Finance Administrator, you will handle various essential tasks including managing travel logistics, coordinating events, and overseeing procurement processes. Your responsibilities extend to asset management, finance duties like processing invoices and reconciliations, and providing general administrative support such as taking meeting minutes. Your role is integral to ensuring the efficient functioning of the organization on a day-to-day basis.

Key Responsibilities

  • Manage travel logistics for staff, board members, and Grants Committee.

  • Coordinate event planning for grantee convenings and community exchanges.

  • Oversee procurement processes, including maintaining supplier databases and obtaining quotations.

  • Manage purchase orders and ensure timely authorization.

  • Maintain asset registers and ensure adequate insurance coverage for all assets.

  • Process invoices and conduct weekly cashflow estimates.

  • Reconcile cash advances and credit card expenditure.

  • Verify grantee bank accounts and maintain beneficiary profiles on the organization's banking system.

  • Provide general administrative support, including taking meeting minutes.

  • Participate in staff retreats.

Requirements

  • Have at least a matric, but preferably also an additional qualification relevant to administrative work, events management and/or bookkeeping.

  • At least 3 years’ work experience in a similar role.

  • A desire to contribute to advancing social and/or environmental justice in South Africa.

  • Some understanding of the circumstances of grassroots communities in South Africa.

  • Be well-organised, methodical and have an attention to detail.

  • Comfortable working with Microsoft Word and Excel.

  • Take initiative and the ability to cope with a flexible, fast-paced, changing work environment.

  • Be comfortable working remotely.

Fluency in South African languages other than English is an advantage.
