About the Job

The Executive Assistant will make sure that the Director’s diary is well-managed. The incumbent must ensure that stakeholders experience friendly, efficient, and effective engagement with the Director’s office. The incumbent must ensure that all documents are clear, error-free, complete, up to date and produced timeously. The logistics and administration of the Director’s office must be efficient, effective and well handled.

Key Responsibilities

  • Diary management including liaising with internal and external stakeholders

  • Documentation management including cataloguing and updating of all documents and presentations

  • Keep an action log of outstanding activities/tasks that need to be completed

  • Anticipation of the Director’s needs to ensure smooth and effective functioning of the office

  • Assist with preparation for meetings and minute taking

  • Manage all logistics and planning for events and large meetings hosted by Director

  • Preparation and proof-reading of agreements, proposals, and reports

  • Project management on key strategic short-term projects

Requirements

  • At least 5 years of executive assistance experience

  • Experience with all Microsoft Office applications

  • Ability to work remotely but available to work in Pretoria occasionally

  • Available to start immediately
